Agency account: name, email, phone, agency name, password (hashed), preferences.

Billing: payment data processed by Stripe — we do not store full card numbers.

Product usage: properties, bookings, ops messages, technical logs (IP, device, errors).

Guests (via your agency): name, phone, WhatsApp / pre-check-in consents, access data needed for the stay.

Demo leads: name, email, phone, message from the contact form.

Providing the Kyvvio SaaS (contract).

Payments, invoicing, fraud prevention (legitimate interests / contract / legal obligation).

Customer support and service improvement (legitimate interests).

Marketing only with consent or legitimate interests, with unsubscribe.

Legal obligations (accounting, authority requests).

We use processors (hosting, database, email, WhatsApp Cloud API / Meta, Stripe) to run the service.

Transfers outside the UK / EEA may occur with appropriate safeguards (e.g. SCCs).

Account data: for the contract term then limited archival as required by law.

Guest data: per agency instructions and check-in purpose, with minimisation.

Technical logs: short retention unless security / dispute needs apply.

Under applicable UK GDPR / GDPR: access, rectification, erasure, restriction, objection, portability, and withdrawal of consent.
